Job Summary
Summary of Position
Work in conjunction with applicable athletic coaches and other university staff to plan, coordinate, market and stage all university athletics sponsored sport camps. Serve as primary customer service representative for all athletic camp customers and potential customers. During times when camp duties are minimal, this position will also serve in an athletics administrative support capacity with facility/event promotion and management, corporate sponsor sales/fulfillment/activation, as well as other duties assigned by the Athletic Director. Maintain program in accordance with the established policies and procedures of NCAA, GLIAC and WCHA league rules and standards, Title IX and University policies.
Required Education
Bachelor's degree or completion of Bachelor's Degree in the next six months.
Required Work Experience
- Two seasons of experience, including summers, with athletic camps and/or university events, intercollegiate athletics or collegiate marketing & sales.
- Must be able to work varied hours, which will include weekends and travel when required.
- Work experience involving planning, coordination of marketing, promotion and advertising of events/camps; registration logistics, maintaining accurate financial accounts and preparing budget reports.
- Must be able to utilize software pertinent to event planning, billing and departmental functions while also assisting in coordination of camp staff payroll and employment processes.
Required Licenses and Certifications
Valid driver's license.
Essential Duties
- Work with athletic camp directors to plan, coordinate and implement marketing and advertising efforts for each camp to include printed brochures, on-line information and social media promotion through marketing plans.
- Work with athletic camp directors to gather and oversee information and photos to submit to web master for creation and updating of camp web pages.
- Coordinate and serve as liaison with various departments to reserve space, ensure adequate room, board and related activities for campers as needed.
- Coordinate with athletic camp directors and other university departments to prepare, set-up and maintain on-line registration, billing, payment and confirmation processes.
- Maintain accurate and complete financial accounts and prepare budget reports.
- Coordinate and manage consistent communications with all athletic camp directors.
- Import and maintain database for each athletic camp utilizing software programs pertinent to department functions.
- Assist in the coordination of athletic camp payroll, employment processes and submit all necessary forms to camp personnel (i.e. child protection training, concussion training and background checks).
- Prepare and maintain all necessary documentation and correspondence.
- Serve as point person to other university departments in order to resolve problems and issues that may arise during the course of an athletic camp session(s).
- Travel to various sites to make sales calls to market and promote athletic camps.
- Assist as needed with facility management, athletic ticketing, event management and corporate sponsor sales/fulfillment/activation.
- Provide excellent customer service
- Basic understanding of risk management.
