Job Summary

THE JOB / Event Senior Coordinator, Golf Event (Tour Golf Event)

We’re looking for the next member of our team to help out on a full field annual LPGA event, hosted at the iconic Indianapolis Motor Speedway golf course the Brickyard Crossing, as we partner to raise funds and awareness for important causes aimed at attracting, developing and retaining women and girls into tech related careers. Working directly with the Event Director and event management staff, you will be integral to the day-to-day preparation and execution of a multi-day professional tour golf event involving tour golfers, pro-ams and a wide-array of community events including: a food festival, STEM education days, and youth golf programing.

Our Events team is a dynamic group of professionals that run world class events around the country. Our model is to create and produce successful, sustainable events by merging sports, entertainment, culinary and arts with philanthropy in markets that recognize the importance of cultural enhancements in the development of the quality of life in its community. We first set out to understand the marketplace and, by leveraging these insights, we craft a week-long series of events that bring the sponsoring brands to life and elevate a region for years to come.

THE WORK YOU’LL DO
  • Maximize the value of the tournament through support on strategy, planning & program development; budget management; execution, and measurement/evaluation
  • Coordinate various event management & operational duties for special events and community programs like social functions, food festival, youth programing and pro-ams/outings
  • Serve as a contact for all pro-am participants, celebrities, tour players and amateurs
  • Help out with tournament merchandising such as: volunteer uniforms, pro-am gifts, staff uniforms
  • Arrange tournament hotel / housing needs
  • Assist with sponsor/guest/staff travel and catering needs for events
  • Create recap documents of each tournament including hard data, key metrics, and recommendations
  • Assist in the coordination of various event management (including special events as assigned) & operational duties for the multi-day event

Qualifications

 
WHO WE’RE LOOKING FOR
  • You have a passion for and expertise in sports, entertainment, gaming, music and/or celebrity & lifestyle culture
  • Bachelor’s Degree with 2-3 years’ experience in related field (events); experience in golf a plus
  • Your background includes strategic, logistical and tactical projects
  • You have experience with marketing planning documents and timelines
  • You measure success in the building of positive client relationships as well as managing “up and down”
  • You have a passion to support partner relationships including vendors, suppliers and assets with some negotiation
  • You have an interest and willingness to support growth opportunities for clients/Octagon
  • You’re ready to become an expert on client’s brand and the state of client’s industry
  • You want to become a presenter of materials to clients
  • You have experience managing and maintaining a budget
  • You’re able to effectively problem solve and do your best work under pressure
  • Your organizational skills, attention to detail and the ability to multi-task are excellent
  • Your written and verbal skills and ability to communicate clearly and professionally are exceptional
  • Proficiency with Microsoft Office (i.e. PowerPoint, Word, Excel)
  • No job is too small for you and you have a collaborative attitude to assist with overall team duties and programs
  • You look forward to travel and can work weekends/holidays as needed; approximately 25%
