Role Summary
This position provides complete administrative and some creative support to the SVP Productions Operations and SVP Physical Productions complex details and advanced administrative duties that contribute to the efficient operation of the organization. The Sr. Administrative Assistant will work fairly independently, receiving a minimum level of detailed supervision and guidance. Maintains close and highly responsive relationship to day-to-day activities of the Leadership Team. Under minimum direction and acting with considerable independence, provides advanced, diversified and confidential administrative support. Requires broad and comprehensive experience and knowledge of organizational policies and practices.Specific Functions/Activities Summary
- Answers and screens telephone calls and visitors. Ability to handle inquiries and/or refer them to the appropriate party. Reviews and answers mail and email inquiries and determines if action is required. Refers routine matters to appropriate person for action and follows up to ensure completion.
- Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements working across several internal departments to best utilize schedules. Prepares meeting materials, including presentation and reports required by the Leadership Team.
- Independently gathers, compiles and analyzes information from multiple sources including the Internet, to prepare reports, and presentations for use of internal staff and external clients. Composes routine and non-routine correspondence, memoranda, reports, etc, which are generally confidential in nature. Creates high quality documents and presentations in excel spreadsheets, word documents and PowerPoint for internal and external presentations.
- Acts as liaison between Executives and any direct reports, and internal and external contacts. Coordinates activities, with direct reports, as well other related departments.
- Coordinates all paperwork necessary for the Executives to approve. This includes, but not limited to, on line time sheets, travel and expenses, personnel requisitions, performance appraisals, personnel action forms (PAF) and authorization payment forms (APF). Follows up with other departments to ensure that requests are carried out and activities are coordinated.
- Assists department with special projects as requested by the SVP Productions Business Ops. Acts together with other executive assistants to provide service as needed for special project
Qualifications
- At least five (5) years of experience as assistant or secretary, preferably at executive level.
- Broad knowledge of company organization, policies and practices.
- Excellent knowledge, with proven experience with Microsoft Office applications, specifically Word, Excel, PowerPoint, Outlook as well as Internet.
- Strong oral and written communication skills and ability to interact with all levels of management.
- Proven logical skills, well organized and detail oriented.
- Ability to work in a fast-paced environment across diverse personality styles.
- Ability to maintain highest degree of confidentiality and diplomacy.
- Must be flexible to work overtime on short notice.
- prior experience in entertainment industry (theater, film, etc.) is preferred.
Education
Candidates who have completed 60 credits of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred. Educational requirements may differ from job to job based on the role.EEO Statement
