Role Overview:
Reporting to the President, the Consultant, Administration is responsible for overall office management of Lumency House; both physical plant and day-to-day operations. The Consultant, Administration role is to ensure that all agency team members have everything they need to execute their roles both efficiently and effectively.
Duties and Responsibilities
Office Management
- Manage the overall maintenance and operational needs of Lumency House
- Service all printers, photocopiers, and office equipment to ensure it is working both efficiently and effectively
- Manage a consistent supply of office equipment and office supplies to satisfy team’s on-going demand
- Manage all mail flow in and out of Lumency House
- Run office-related errands on an as needs basis
- Manage office operations and related procedures to ensure the space operates both efficiently and effectively
- Manage the Breakfast Program at Lumency House, ensuring a consistent supply of breakfast items are available to team members
- Coordinate and execute all technology related requests
- Provide operational support for agency social events
Relationship Management
- Welcome visitors to Lumency House, ensuring client protocol is always followed
- Organize and schedule meetings and appointments as directed by the President and Vice President, Client Services
- Provide onboarding to new team members, ensuring their space is equipped with the necessary supplies and office equipment prior to their arrival at Lumency House
- Build relationships with building staff, vendors and suppliers
- Negotiate pricing with office related service providers and vendors
Financial Management
- Manage the payment of all invoices related to the overall management of the office plant and operations
- Manage office general and administrative budget, ensure accurate and timely reporting
Culture Cultivation
- Support ongoing development of a positive agency culture
- Act as a Lumency champion in the marketplace
Other Duties as Assigned.
Qualifications
Education
Post-secondary education in office administration
Experience
3-5 years of experience in a growing, entrepreneurial business environment as an office manager
Other Qualifications
Certification / Coursework in Basic Accounting or Bookkeeping, Microsoft Office, and working knowledge of computer networks
