Job Summary

Position Description

You will have built 2-3 years’ experience on major global events developing sharp business acumen, excellent communication skills, and resourceful operational planning.  With a clear understanding of process and driving progress, you are a meticulous planner of a variety of events that range from weekly races to executive meetings and pivoting quickly as priorities shift.  Your relationship management is paramount as we all look to rise as a team, always ready to tackle obstacles with a cool head, creativity and vision.

 

Primary Responsibilities:

 

  • Work closely with organizational teams to conceptualize, develop, and bring to realization experiential marketing stunts and events that are in line and on brand with NYRR and our marketing partners.
  • Draft and keep current event documentation to include:  profiles, floorplans, production timelines, budgeting projections, catering menus, etc.
  • Source and negotiate a variety of services from catering and tents to musical entertainment and staging as well as oversee the successfully installing said services.
  • Identifying key stakeholders and cross-functionally moving projects from ideation to realization focusing on organizational goals while continuing forward progression through the event life cycle.
  • Agility in managing multiple responsibilities on multiple projects simultaneously.
  • Budget preparation and management, vendor contracts and payments.
  • Preparation of internal and external client event proposals, including tenting, food and beverage, AV and other major elements.
  • Monitor event quality and service, develop and oversee staff to ensure they are meeting/exceeding customer expectations.
  • Responsible for scheduling planning meetings with all internal and external stakeholders prior to event.
  • Knowledge of food service and catering standards.
Position Requirements
  • Minimum 2-3 years of special events project management including strong production/operational background
  • Strong attention to detail and client service, taking every opportunity to enhance and optimize consumer/member interaction with our brand
  • Ability to effectively manage multiple projects and work under tight deadlines
  • Microsoft Office Suite
  • Ability to work nights and weekends as needed
  • Strong administrative, customer service and time management skills required

 

Desired Skills:

 

  • 2D/3D CAD, rendering, desktop drafting
  • Highly organized, detail oriented, timeline focused attitude
  • Independent, organized and driven professional, able to self-motivate and innovate.
