Job Summary

 

Director of Athletics primary responsibilities:

  • Ensure that athletics and afternoon activity programs advance The Phelps School’s mission.
  • Collaborate with faculty and school leaders to provide sports experiences that support students’ academic and personal growth.
  • Ensure clear communication of and compliance with rules for student conduct and eligibility.
  • Provide a safe environment for students’ physical, social, and emotional development.
  • Lead and supervise coaches to ensure that they model professionalism and sportsmanship as educators and mentors.  Oversee their ongoing professional development and improvement. Evaluate coaches’ performance and provide feedback.
  • Exhibit excellent interpersonal skills and work well with people from diverse backgrounds.
  • Focus on resolving conflicts, listening to others, keeping emotions under control, remaining open to others’ ideas, and building positive school spirit.
  • Encourage and expect student-athletes and coaches to be positive leaders throughout life.  
  • Ensure support for the school’s commitment to diversity in its athletes and coaching staffs.
  • Manage the athletic department budget.  
  • Maintain a coaches’ manual and meet regularly with staff to review standards and share ideas.
  • Train all coaches to ensure their compliance and agreement with program goals and philosophy.
  • Verify athletes’ medical clearances, insurance, and parental release for sports participation.
  • Respond to parent concerns.
  • Collaborate with the Director of College Counseling to facilitate college athletic recruiting.
  • Collaborate with the Admissions staff to facilitate student-athlete recruitment .
  • Help Maintenance staff ensure proper care and security of athletic equipment and facilities.
  • Assist in publicizing and promoting programs, including recognition of athletic achievements.
  • Oversee game scheduling, arrange for transportation, and hire game officials.
  • Represent Phelps at local, state, regional, and national athletic associations.
  • Maintain records of team and individual athletic accomplishments for historical purposes.
  • Oversee distribution, collection, cleaning, repair, and storage of sports uniforms and equipment.
  • Assess program quality and efficiency by keeping relevant reports and statistics.
  • Continually evaluate and improve programs and processes’ efficiency and effectiveness.
  • Keep up-to-date on innovative developments and trends in high school athletics.
  • Continue professional development in athletic leadership.
  • Display ethical behavior and the highest professional standards, serving always as a role model.

Duties and Responsibilities as Facility Rentals Director:

  • Market the rental facility program by developing relationships with potential clients and implementing sales strategies.  Solicit new business with local, regional, and national organizations by cold calls, correspondence, meetings, and presentations.
  • Manage relationships with current clients to ensure repeat business.
  • Develop a marketing plan to solicit business from various target categories.
  • Provide facility tours and administer contracts with potential clients.
  • Recommend to the school President approval or denial of rental requests for specific events.
  • Collect a properly executed agreement, full payment, insurance certificates, and participant waivers from each organization prior to use.
  • For each rental, provide facility oversight and be available as point of contact.
  • Ensure oversight of events to facilitate operations, respond to emergencies or problems, and see that events are carried out as planned.
  • Ensure that facilities and resources are available for school use as requested/needed.
  • Provide reports on a regular basis indicating contacts, sales results, and projections.
  • Maintain and update the master rental calendar with event schedule information.
  • Investigate complaints, disturbances, and violations.  Resolve problems as directed by the Director of Financial Affairs.
  • Inspect campus grounds, facilities, and equipment routinely to ensure safety and to determine needs for repair and maintenance.  Report to the Director of Financial Affairs.
