Job Summary
General Duties and Responsibilities
- Manage special events, as assigned, which could include but not limited to: Annual Endurance Exchange, International Triathlon Union events, Awards Ceremonies, and other special events that currently supports. Management of each event will include:
- Lead all event planning including strategy, operations and tactics
- Develop and manage budget and reporting
- Collaborate across teams and departments to create organizational engagement opportunities at each event, and ensure deadlines and objectives are met
- Negotiate quotes and agreements with vendors
- Assist with event marketing in collaboration with our Marketing and Communications team
- Manage Post event reporting and reconciliation
- Additional duties as required to fully support the needs of the event
- Create and implement communication plans for athletes, spectators, and staff including prep for online webinars and event update messaging
- Focus on marketing events in order to hit key metrics for participation and satisfaction
- Assist with preparation of all phases in the championship event logistics process
- Work with key team members to create and manage event timelines
- Manage event materials order and delivery processes
- Liaise with local organizing committee to fulfill responsibilities
- Assist with the management and development of the event look and feel
- Event set-up and break-down
- Cross-collaborate with departments on event-related programming
- Update of National Events’ website pages as necessary
- National Event emails and phone line
- Assist in non-owned national, regional, and state championship bid processes and host event selections
- Assist with respective race directors and vendors to manage all non-owned national championships
Requirements
- Bachelor’s degree in sport management, business, or related field or demonstrate equivalent experience
- 2 – 4 years related special events or event management experience
- Hands-on event production experience
- Excellent organizational skills and the ability to work well with a team
- Detail-oriented and self-motivated
- Superior customer service
- Developed budget management, negotiation, organizational, and presentation skills
- Ability to effectively manage multiple projects and work under tight deadlines
- Excellent writing and communication skills
- Strong computer skills required
- Ability to work flexible hours including weekends and some holidays
- Ability to lift 50 lbs. or more (continuously) and work extended hours
- Travel is required
