Under the supervision of the Assistant Athletics Director, Events and Camps, the Coordinator, Events and Operations, is responsible for the home game management of several varsity sporting events.

Plan and execute Stanford events, such as seminars, conferences, sports or alumni events, and other university related events. Consult with stakeholders and plan logistics, including registration and attendee tracking, presentation and materials support, and pre- and post-event evaluations.

CORE DUTIES *

  • Design, plan, implement, and coordinate athletics and other Stanford events.
  • Coordinate facility set-up primarily for aquatic events, including game day specific equipment setup.
  • Serve as primary game day operations on-site contact for men's and women's swimming, men's and women's water polo, and other sports to be determined at a later date; proactively communicate with coaches to ensure game-day needs are met. Work closely with various departments to ensure game-day operations run efficiently.
  • Communicate with visiting entities such as vendors, teams, coaches and officials for assigned events. Work with varsity sports teams for game-day operation needs.
  • Create and distribute visiting team guides and/or pertinent game day information; coordinate practice time and walk-through requests with home and visiting teams.
  • Consult with and participate in meetings with stakeholders to plan scope and format of events: Marketing, Fan Experience, Ticket Office, Technical Operations and other departments to name a few.
  • Update timelines and game-day protocol sheets; facilitate redcoat briefings. Manage part-time event staff on game days.
  • Establish and monitor budgets, track event expenses and event progress.
  • Evaluate and select vendors and providers of services considering stakeholder requests and requirements.
  • Assist with research and provide recommendations for potential event locations, and evaluate alternatives.
  • Assist with investigating, documenting and reporting complaints regarding all aspects of events including customer service, crowd control and staff issues. Work closely with Events and Operations staff to coordinate events and resolve conflicts.

MINIMUM REQUIREMENTS
Education and Experience

Associate degree and three years of relevant experience or combination of education and relevant experience.

Knowledge, Skills and Abilities

  • Demonstrated success planning events.
  • Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
  • Ability to work both independently and as part of a team.
  • Demonstrated creativity, problem solving skills, taking initiative, judgement, and decision-making.
  • Excellent interpersonal, communication, time management, and customer service skills.
  • Must be well organized and detailed oriented.
  • Knowledge of Microsoft Office suite and other online documents, such as Google Docs.
  • Ability to interact with a broad spectrum of customers.

Certificates and Licenses
Valid Non-Commercial Class California Driver's License.

PHYSICAL REQUIREMENTS*

  • Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
  • Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.
  • Ability to obtain and maintain a California Non-commercial Class license and drive day or night.

WORKING CONDITIONS
* May require some travel and working evenings and weekends.
