Associate Athletic Director, Finance, Department of Athletics

Job Summary

 

Essential Functions:


  • Manages the Athletics Business Office on a day-to-day basis which includes supervising and delegating to staff, including the third party travel agency employee
  • Ensuring accounting controls are in place and are followed
  • Ensuring the accounting for transactions follows University guidelines
  • And serving as the main point of contact to customers of the unit including other Athletics Department employees and University personnel.

  • Manages the annual budget process.

  • Establishes and adheres to a monthly closing process including review of budgeted vs. actual results; reviewing and preparing account reconciliations; and organizing and leading a meeting with the Athletics CFO to review results and discuss any issues.

  • Provides the Athletics CFO with budgeting and forecasting recommendations based on their knowledge of the Athletics operation. 

  • Orchestrates all tasks associated with year-end including closing the books; financial reporting; preparing and submitting the annual EADA and NCAA reports; and being the Athletics point of contact for the year-end audit by the independent auditing firm.

  • Develops and updates various financial reports, including graphical presentations.

  • Responds to surveys from various outside entities.  

  • Oversees the approval of invoices and expense reports for payment in accordance with University and Department travel policies.

  • Handles a variety of transactions and programs including travel advances, game guarantee contracts, NCAA and ACC reimbursements, courtesy vehicles and the Indoor Tennis Center.

  • Assists the Athletics CFO with capital project accounting and monitoring.

  • Serves as liaison other to University entities as needed.

  • Makes recommendations in the formulation and direction of fiscal policies and procedures.

  • Suggests, analyzes, and implements initiatives within the department to generate revenue or reduce expenses.

  • Formulates and implements creative solutions for non-routine financial issues and projects.

  • Remains current and complies with all applicable University, Atlantic Coast Conference and NCAA rules, and regulations.

  • Performs other related duties as requested by the Athletics CFO.

 

Minimum Qualifications:


Education, Experience and Training

  • Bachelor's degree in Accounting or Business Administration and five to seven years of accounting experience, or an equivalent combination of education and experience. 
  • Experience in public accounting and CPA designation strongly desired.

 

Knowledge, Skills, Abilities:


  • Knowledge of Generally Accepted Accounting Principles (GAAP).

  • Proven experience in supervising and delegating to staff.

  • Proven experience in problem solving, working independently, multi-tasking, approaching each task in an organized and disciplined manner and meeting deadlines.

  • Proven skills in budget preparation and management.

  • Ability to prepare financial statements and financial analysis as needed along with interpreting the statements and analysis.

  • Experience with Workday a plus.

  • Knowledge of auditing policies, standards, and procedures.

  • Knowledge of accounts receivable and accounts payable procedures and practices.

  • Ability to demonstrate effective communication skills both orally and in writing.

  • Ability to analyze and interpret policy and procedural questions.

  • Ability to handle sensitive information in a confidential manner.

  • Ability to organize workflow and coordinate activities with the University accounting group.

  • Excellent interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community.

  • Ability to solve problems and adapt to changes quickly and positively.

  • Proficiency in Windows applications.

  • Excellent work ethic along with the ability to work occasional evenings and weekends as required.

 

Supervisory Responsibility:

  • Provides supervision, training, work direction, and problem solving assistance for the joint Athletics Department/Accounts Payable Specialist, the Accounting Assistant for the Ticket Office/Coliseum Operations and the third party on-site Travel Agent along with any student worker that may be employed.

 

Desired Qualifications and Characteristics:


  • Demonstrates strong analytical skills, exhibits initiative, and is a quick learner who has honed their skills through a combination of experience in public accounting or industry and is a CPA.  Prior college athletics experience is desirable.

  • Proven ability to oversee the preparation and monitoring of budgets and financial forecasts.

  • Understands and ensures the implementation of and adherence to strong internal control structures.

  • Exhibits excellent interpersonal skills and the ability to build relationships within Athletics and across the University.

  • Proven ability to successfully develop, manage, and mentor staff, while at the same time being "hands on" as needed.

  • Approaches work in a disciplined, organized and detail manner, works well under pressure and meets deadlines. 

  • Demonstrates the ability to lead information technology initiatives.

  • Proactively looks for ways to assist on other projects and initiatives not directly related to the Business Office.
