  • Assist with all aspects in the day-to-day financial processing and administration of the respective Sport Performance portfolios.
  • Support and work in conjunction with other Sport Performance areas to ensure collaboration and optimal service

Duties & Responsibilities

Financial

  • Coordinate, process and track payments, Olympic athlete payments and enrollments
  • Process and track invoices for vendors and contractors.

Administrative                                                

  • Provide ongoing service to NGBs and athletes in training, trouble shooting and utilizing the USOC's CRM Database & Team USA Portal systems.
  • Work in conjunction with Sport Performance team members to compile data for Performance Partnership Agreements (PPA).
  • Follow up with NGBs for feedback and execution, such as research, reallocation requests and PPA amendments.
  • Ensure NGB compliance by tracking NGB performance milestones and monitoring expense and final reports.
  • Participate in Games Planning Strategy (GPS) meetings to document NGB plans and ensure collaboration between Sport Performance, Games Operations and Logistics.
  • Review NGB athlete and staff procedures, registrations and assignments, sport entry and deliverable reports for accuracy and compliance.
  • Follow up with the respective Sport Performance team, USOC division as needed.
  • Coordinate correspondence with athletes, staff and various working groups as assigned.
  • Manage and coordinate with Sport Performance Team to ensure compliance with document retention policy.
  • Work in conjunction with other Sport Performance team members and other divisions to ensure collaboration and optimal performance-based services are provided
  • Prepare correspondence on behalf of Sport Performance.
  • Maintain accurate files of all records and documents processed by the Sport Performance Team.
  • Facilitate meeting arrangements
  • Conduct special administrative oriented projects as identified by supervisors.
  • Work with sport science service providers and other divisions to draft, process and store service agreements.
  • Assist Sport Performance team members with Games planning strategies and related data entry as requested.
  • Assist the Sport Performance Technology and Innovation team with processing invoices, purchasing equipment, drafting contracts, scheduling meetings and assisting with daily operations.
  • Assist the Sport Performance teams with the scheduling of meetings, coordinating the IT component of meetings, keeping each team’s calendar accurate and taking and storing notes during meetings as needed.

Customer Service/Liaison 

  • Serve as a liaison with various divisions to fulfill the mission and objectives of the division.
  • Provide excellent and proactive customer service to NGBs and athletes.

Other 

  • While looking for system improvements, conduct and serve as “project manager” for certain identified areas and/or projects within Sport Performance.
  • Serve in a Games role as assigned.

Minimum Qualifications Required

  • Bachelor’s degree or related work experience.
  • 5 years of executive-level administrative experience preferred.
  • Basic accounting experience preferred.
  • Excellent communication skills.
  • Skilled experience with Microsoft suite.
  • General knowledge with or experience of financial reporting systems.
  • Ability to multi-task and be versatile.
  • Strong customer service skills including responsiveness, follow through, and professionalism under stress.
  • Ability to maintain confidentiality including data considered private under HIPAA.
  • Detail-oriented and strong logistical skills.
  • Travel possible based on specific assignment.
