Job Summary

 


Major Responsibilities:

Administration

  • Direct the strategic planning process for Facilities and Event Management
  • Develop and promote a shared vision that drives departmental, divisional, and institutional priorities and the on-going organization of work. Create and implement short-term and long-term plans and goals consistent with the strategic plan to ensure mission effectiveness.
  • Manage the training and development of three direct reports, one indirect report (Rec Facilities Manager) and oversee the recruitment, supervision, development and training of 11 full time employees, 1 intern, and a part time staff of approximately 30 managers and 200 employees.
  • Oversee the management of the DIARS Guest Services Program to be inclusive of all branding, communication, experiences and events.
  • Lead the development and annual updating of the operational manuals for the Bob Carpenter Center, Delaware Field House, Outdoor Facilities and Parking, Athletic Event Management and Championships, Operations and Facilities, Emergency, Planning, Training and Management, Ice Arenas and Outdoor Aquatic Center.
  • Oversee and evaluate the annual operating and capital budgets (6-9million) which includes budget planning, allocating funds to specific budgets, expense analysis and establishing pricing and fees for services.


Event Management

  • Oversee the management of events and provide strategic leadership, training, and development of all staff in the areas of event management on campus and/or at satellite locations, to include internal/external events and athletic operations pertaining to 21 intercollegiate programs.
  • Provide direction for the planning and logistic aspects for each event and event staff personnel, contract organization for all events/competitions and the interaction with internal/external clients, visiting teams and officials.
  • Assist in the collaboration of staff within other university departments and external vendors to ensure efficiencies, safety and security during the events.
  • Oversee the management of CAA Championships, NCAA post-season championships and other post-season events hosted on site or satellite locations. This includes the administrative coordination of the bid process, budgets and event management.

Capital Projects Management

  • Manage all DIARS capital projects for the Bob Carpenter Center, Delaware Field House, Suzanne and Stuart Grant Stadium, Bob Hannah Stadium, Fred Rullo Stadium, Softball Stadium, Fred Rust Arena, Gold Arena, Carpenter Sports Center, Outdoor Aquatic Center and all Outdoor Fields/Courts to include new construction, renovations, and maintenance and/or repair projects.  Coordination with Planning, Project and Delivery, Maintenance and Operations and External Contractors in regards to architectural design drawings and requested needs from internal departments during the project.
  • Maintain the project list and schedule of future forecasted capital projects.
  • Create and maintain a short term 3-5 years, long term 5-10 years and master planning capital project plan.


 Facilities Management

  • Oversee the management, administration, daily maintenance and future forecasted deferred maintenance of all facilities associated with the DIARS.
  • Coordinate with on campus partners to ensure we are compliant with building codes, safety and security measures and preventive maintenance is scheduled and performed.


  Revenue

  • Direct the Management of the Fred Rust Arena, Gold Arena, Outdoor Aquatic Center facilities for revenue generation, community engagement and event experience to enhance the DIARS brand awareness.
  • Oversee the execution of a rental marketing plan focused on the facilities Fred Rust Arena, Gold Arena, Outdoor Aquatic Center to increase revenue



Emergency Management

  • Oversee the department’s Emergency, Planning, Training and Management Program. Manage the department’s preparedness for inclement weather and high risk safety/security incidents that could happen during daily operations and/or events.
  • Maintain the policies and procedures manual, initiate assessments and table top exercises. Collaborate with; Internal Partners-Public Safety, Environmental Health and Safety, Maintenance and Operations and University Administration. External Partners-Newark, County and State Police, Aetna Fire and Hose Hook and Ladder Company, Deldot and Local and State Officials.


Leadership Team

  • Serve as a contributing member of the Division’s leadership team, the policy and decision-making group for DIARS.
  • Assume additional duties and responsibilities to further the mission of the Division as may be assigned.


 Qualifications:

  • Bachelor’s degree and six years of direct facilities and game operations experience at a Division I level, or equivalent combination of education and experience.
  • Previous supervisory experience required.
  • Capital Project experience preferred.
  • Advanced knowledge of NCAA rules and regulations.
  • Careful judgment and discretion with respect to strategic and confidential material.
  • Ability to prioritize tasks and meet deadlines for a wide variety of assignments.
  • Skill in organizing resources and establishing priorities, as well as fiscal management of an assigned budget or event budget.
  • Skill in personal computer use and software applications, including database, spreadsheet, presentation and word processing.
  • Web familiarity.
  • Ability to enter and maintain documents, such as policy manuals.
  • Ability to train and supervise employees, including organization, prioritization and scheduling of work assignments.
  • Effective organizational and coordinating skills, including the ability to effectively manage time and schedules.
  • Ability to foster a cooperative work environment.
  • Ability to work autonomously and demonstrate excellent judgment in decision-making.
  • Strong interpersonal and effective oral and written communication skills.
  • Ability to work effectively with a wide range of constituencies in a diverse community.


Special Requirements:

  • Required to lift heavy objects and move equipment at all facilities.
  • Required to work extensive nights, weekends and holidays.
