Job Summary

Specific Duties and Responsibilities:

  • Assists the AD/CEO in the development and direction of short and long-term strategic planning, to include the development and measurement of meaningful financial metrics
  • Sits on the Athletic Director Cabinet as a senior level leader and decision maker within the athletic department.
  • Serves as a member of the senior management team reporting directly to the CEO, and work with the AD/CEO to establish corporation goals and develop/implement corporation policy.
  • Rigorously evaluates AFAAC programs, consistently administering oversight of internal functions. Oversees internal controls across all departments and advises the CEO/Audit Committee/BOD/Grants Officer of any potential breaches.
  • Oversees all matters of Accounting, Finance, Budget, Insurance, Benefits, Payroll and Taxes and ensures all actions are conducted within AFAAC and NCAA policies and procedures and consistent with the “Principles and Practices of Nonprofit Excellence in Colorado.”
  • Advises and informs the AD/CEO on a continual basis of any significant financial changes and issues that impact day-to-day operations and/or long-term financial strategies.
  • Responsible for the analysis, creation, and implementation of financial and operations policies, processes and initiatives that impact the corporation.
  • Supervises Business Office, Procurement Division, Human Resources, Recruiting, Food & Beverage, outsourced Team Apparel operations, and any other functions as delegated and designated by the CEO.
  • Responsible for budget enforcement, department expenditures and accounting. Communicates, as required, any potential issues related to these matters to sports administrators.
  • Responsible for decision-making on financial control issues.
  • Trains, develops, and evaluates staff to ensure effective and efficient operations.
  • Responsible for creating an atmosphere of superior internal customer service and efficient accounting management
  • Provides oversight for all athletic department contracts, including employment contracts, independently and with the direction of legal counsel when appropriate.
  • Prepares and maintains an ongoing five-year or longer financial forecast (pro-forma budget). Build models based on known and potential developments that could impact revenues or expenses.
  • Assists and reviews development of submission of NCAA Revenue & Expense report (Agreed-Upon Procedures Review), compensation surveys, and other required conference financial reports.
  • Prepares actual revenues and expenditures versus budget on an ongoing basis, and provides analysis on such, to determine what adjustments are necessary in order to ensure a positive year-end fund balance.
  • Prepares AFAAC annual budget for review and approval by the CEO and BOD.
  • Liaison to AFAAC BOD, Athletic Director, and USAFA leadership.
  • Provides other analysis, financial and otherwise, as needed.

Leadership & Management:

  • Assists the CEO in ensuring ongoing local programmatic excellence, rigorous program evaluation, and consistent quality of financial activities and administration, fundraising, communications, and systems; recommend timelines and resources needed to achieve the strategic goals.
  • Primary liaison with intradepartmental resources and facility working groups.
  • Develops/maintains relationships with installation partners to include, but not limited to the 10 ABW, government contractors, USAFA headquarters staff, other USAFA-supporting 501c3 organizations, etc. to accomplish AFAAC and AD missions.
  • Supports the AD/CEO in the development of an effective and strong BOD: serve as ex-officio/advisor on various committees (namely the Audit, Investment, Compensation Committees) to seek and build strategic board involvement.
  • Monitors AFAAC operations to meet budget, maintain an unmodified audit status and other financial goals.
  • Explores/evaluates new business opportunities; assess financial and operational impacts.
  • Provides data needed to assess short and long-term strategic planning and implementation plans for AFAAC.
  • Assists, as required, the AD and CEO in their role as liaison between USAFA headquarters staff and the AFAAC BOD on all Board-related matters.
  • Manages and, if necessary, recruits and hires Business Office, Human Resources, Concessions, Procurement, and Recruiting employees.
  • Manages remote or on-site outsourced organizational support including, but not limited to: legal counsel, travel services, fundraising compliance, benefits providers, internal and external audit, business and other related insurance plans and providers, and retirement plans for staff.
  • Oversee risk management and legal activities associated with letters of agreement, contracts, leases, and cooperative agreements.

Strategic Relationship/New Business Development:

  • Advises on facility renovation or other related AFAAC-sponsored project planning, funding and gift acceptance process with key installation stakeholders (10 ABW, USAFA staff).
  • Serves as liaison to counterparts for other non-profits at USAFA
  • Cultivates and uses external presence and relationships within the community to garner new business opportunities.

Requirements:

  • Minimum of 5 years as a senior financial officer at a Division I athletic department
  • Bachelor's Degree required, Master's Degree and professional certifications preferred
  • Expert-level experience with NCAA, non-profit financial oversight, and working knowledge of government funding regulations such as the Code of Federal Regulations, Uniform Guidance, and/or other related documents
  • Ability to manage a high-functioning staff
  • Proven interaction with University Regents, a Board of Directors, or similar governing bodies
  • Professional communicator with an ability to effectively communicate with senior Air Force and athletics officials
  • Results-driven individual with a strong commitment to service our cadet-athletes.
