Job Summary

Summary 

The Human Resource Coordinator works closely with the Human Resources Manager and relieves the Manager of clerical work and administrative and business detail by performing the duties listed below.  Also arranges travel services for organization personnel by performing the following duties.
 

Essential Duties and Responsibilities include the following.

  • Responsible for the on boarding of new employees.  Conducts new employee orientations at headquarters to ensure employees gain an understanding of our organization’s mission, vision, culture, policies and benefits.
  • Helps maintain employee data including but not limited to:  new hires, transfers, personal information changes and voluntary or involuntary deductions in the payroll system.
  • Administers the company benefit plans.  Counsels employees and potential employees on benefit plan provisions so that individuals can make informed benefit decisions.  This includes all levels of employees including Executives.
  • Process all benefit enrollments and terminations.  This includes entering required information in the payroll system as well as the insurance companies systems to ensure accurate record keeping and proper deductions. 
  • Serves as the Cobra Administrator for the company.
  • Manages the benefit annual open enrollment period.  Arranges for the distribution of materials from providers, assists with the communication of changes to employees, arranges for on-site representation with providers and conducts employee presentations.  Processes all changes during open enrollment within the deadlines.
  • Generates communication and counsels employees/dependents as situations arise to ensure employee understanding of benefit programs.  Resolves employee complaints related to the benefit programs.  Refers difficult or complex complaints to the Human Resources Manager as needed.  Acts as a liaison with various providers and fosters effective relationships with client representatives.  Advises Management on potential problems areas and recommends/implements solutions as appropriate.
  • Direct preparation and distribution of written and verbal information to inform employees of changes to the benefits programs such as health, dental, life, disability and the 401(k) plan.
  • Processes the monthly billings from the benefit plan providers.  Reconciles the billings to ensure accuracy.  Responsible for coding the billings correctly and submitting them to the Finance Department for payment in a timely manner.  Completes reports for Management as requested.
  • Coordinates the wellness and fitness programs or services.
  • Assists the Human Resources Manager with inquiries regarding policies, procedures and programs.
  • Receives and prioritizes travel requests.
  • Confers with travelers to determine destination, mode of transportation, travel dates, necessary accommodations and budget for required business travel.
  • Helps set and ensure staff adheres to organization’s travel policy guidelines.
  • Consults published and computer sources to analyze and evaluate commercial rates, lowest logical airfares, times, routings and appropriate hotel reservations and car rentals.
  • Prepares tentative plans and suitable alternatives for approval by traveler and management.
  • Computes cost of travel, accommodations and local transportation.
  • Uses computerized reservation and ticketing systems to book transportation, hotel, car reservations and issue itineraries.
  • Ensures all reservations are confirmed prior to travel.
  • Tracks and audits travel activities, expenses and payments.
  • Evaluates, negotiates, selects and procures vendor services.
  • Monitors vendor performance to ensure quality service.
  • Contracts with outside travel agencies when necessary.
  • Serves as general resource for travelers, and researches problems and resolves issues.
  • Other duties may be assigned.

 
Education and/or Experience                                          

  • Bachelor's degree (B. A.) or equivalent from four-year College.
  • Human Resource and Travel experience a plus.

Job Knowledge, Skills and Abilities

  • This position requires that the person be highly organized, self-motivated individual who can work independently.
  • Must have strong verbal and written communication skills
  • Must be able to manage multiple tasks and priorities and easily adapt to changing situations.
  • Knowledge of company and department operations (including understanding company and department policies, processes and procedures).
  • Strong computer skills are a must.  Use of Microsoft Excel, Microsoft Word and comfortable use of Internet is necessary.
  • Must have excellent data entry skills with strong attention to detail and accuracy
  • Ability to understand and follow work processes.
