Job Overview

We are seeking a highly organized and detail-oriented Marketing & Service Coordinator to support executive leadership and cross-functional teams across sales, marketing, and asset deployment initiatives. This role serves as a central operational and administrative hub, ensuring accurate documentation, timely deliverables, and smooth coordination between internal teams and external partners.

The Marketing & Service Coordinator plays a critical role in enabling revenue growth and operational efficiency by supporting proposal development, CRM management, campaign execution, and deployment coordination. This position reports to the VP Team and collaborates closely with marketing, sales, and asset operations.


Responsibilities

  • Create, manage, and distribute proposals, RFP responses, media kits, presentations, and sales support materials.
  • Maintain accurate and up-to-date CRM records, including contracts, deal documentation, contact records, and activity tracking.
  • Coordinate installation schedules, marketing assets, and vendor timelines to support asset deployment and campaign execution.
  • Track revenue reports, campaign performance metrics, and compliance requirements across active accounts.
  • Support internal workflows by organizing schedules, deadlines, and deliverables for VP-level leadership.
  • Act as an internal liaison between sales, marketing, and asset teams to ensure alignment and timely communication.
  • Assist with process documentation and continuous improvement of internal operational workflows.
  • Ensure all client-facing and internal materials meet brand, accuracy, and quality standards.

Key Performance Indicators (KPIs)

·       Timeliness and accuracy of proposals, contracts, and RFP submissions

·       Volume and quality of marketing assets produced (media kits, presentations, sales collateral)

·       Contract readiness and documentation completeness at each deal stage

·       CRM data accuracy, deal stage progression, and document version control

·       On-time delivery of marketing and deployment support materials

·       Internal stakeholder satisfaction across sales, marketing, and asset teams


Experience

  • Experience in marketing coordination, sales support, operations, or administrative roles preferred.
  • Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
  • Familiarity with CRM systems, document management tools, and presentation software.
  • Excellent written and verbal communication skills.
  • High attention to detail with a proactive, service-oriented mindset.
  • Ability to work collaboratively across teams in a fast-paced environment.
